In this position to perform the Inventory, Purchasing and Accounting assistant focuses on the efficient management of laboratory materials and general administrative support to the laboratory operations. This professional is responsible for ensuring that the laboratory operations have correct and sufficient levels of spares and consumables at all times.

Objective: To coordinate the supply chain, from the purchase of materials and services, management of inventory, including related administrative and document management and accounting for laboratory operations and personnel. 

MINIMUM REQUIREMENTS: 

  • Bachelor’s degree in Supply Chain Management, Logistics, or a related field,
  • At least 3 years of work experience as a logistics administrator, warehouse/storage facility manager, or similar role,
  • Knowledge of logistics software or transportation management systems,
  • Basic accounting knowledge, and excellent organizational and time management skills,
  • Quick Thinking: Ability to solve logistical problems, Strategic Vision: Focus on optimizing the supply chain,
  • Planning: Organizing orders and transportation, and technical knowledge: Proficiency in management tools (ERP) and inventory control,
  • Communication: relationship with suppliers and carriers; monitoring inventory levels in our warehouse/storage facility and placing orders as needed,
  • Providing customers with information on the status of their orders,
  • Good communication skills (Must be Fluent in English and Portuguese),
  • Excellent communication skills, with the ability to present complex information clearly to stakeholders at all levels,
  • Self-motivated and proactive, with the ability to work in a fast-paced, dynamic environment.

Accountabilities and Responsabilities:

Procurement and Purchasing (Acquisition)

  • Participate in the management and development of the supplier portfolio (local and international),
  • Analysis of active suppliers and search for new sources of supply,
  • Carry out the acquisition of goods, services, and works, ensuring the best cost-benefit ratio, and process purchase orders and monitor delivery deadlines.

Logistics (Operations and Warehousing)

  • Monitor, control, and optimize inventory levels,
  • Supervise the movement and storage of materials, organize the distribution of goods, and manage the supply chain, production, and distribution, and manage product returns.

Administration and Support (Documentation)

  • Process transportation and import/export documentation,
  • Traceability of goods and control of logistics costs, and administrative control of fleets and facilities,
  • Plan shipments according to product availability and customer requests, and monitor orders to ensure on-time deliveries,
  • Prepare shipping documents (such as invoices, purchase orders, and bills of lading),
  • Coordinate supply chain procedures to maximize delivery quality.
  • Quotation and purchase of tickets (air, road, etc.); Leasing or rental of properties,
  • Purchase of parts (machinery, equipment, vehicles); Acquisition of various materials (office, cleaning, IT, etc.),
  • Negotiation with suppliers, preparation and control of purchase orders, and monitoring delivery deadlines, managing service and rental contracts; organizing corporate travel.

Accounting

  • Prepare and submit statements for petty expenditures,
  • Handle client invoicing process and follow-up payments to suppliers and service providers.
