About the Role
The Inspections Support Officer plays a vital role in coordinating tasks to ensure inspection and project deliverables are achieved. This includes overseeing schedules, facilitating communication with stakeholders, managing the inspection database, and completing all associated reporting. The role requires someone who can work independently with strong attention to detail, high accuracy, and the ability to multitask and meet deadlines in a fast‑paced environment.
Key Responsibilities
- Coordinate inspection tasks, schedules and deadlines while maintaining clear communication across stakeholders.
- Manage the inspection database, schedule bookings and ensure accurate data entry.
- Process and prepare inspection reports, direction notices and associated documentation within required timeframes.
- Liaise with clients, inspectors and subcontractors, including confirming bookings and required documentation.
- Maintain accurate inspector records such as licences, insurances, agreements and registrations.
- Enter and update client requests in internal systems and manage inbox tasks promptly.
- Coordinate schedule changes and prioritise urgent issues to support smooth project delivery.
- Provide administrative support including calls, enquiries, file management and general office duties.
- Assist with sourcing new inspectors and conducting supplier checks when required.
- Contribute to continuous improvement by participating in meetings, updating procedures and adhering to QHSE and ISO 9001 requirements.
What We’re Looking For
- Strong proficiency in Microsoft Office with high data‑entry accuracy and attention to detail.
- Excellent organisational, prioritisation and time‑management skills, with the ability to meet tight deadlines.
- Confident written and verbal communicator who can work both independently and as part of a team.
- Ability to learn new systems and use technology to improve workflows; solid understanding of office procedures.
- Relevant qualifications in Business Administration (Cert III/IV or Diploma) and general knowledge of the Building & Construction industry (preferred).
- Positive attitude, strong work ethic, willingness to take on new challenges, and understanding of basic Workplace Health & Safety requirements.
