As we continue to develop Marine & Offshore activities, we are delighted to offer a unique opportunity to join our organisation as Assistant for Emissions Compliance department. Position is located within our Piraeus office in Greece and you will be welcomed in a supportive and collaborative learning environment.

Main Tasks & Duties: 

  • Manage generic mailbox for dispatching and e-filing,
  • Undertake job registrations, upload documents,
  • Manage proposals for invoicing (including liaison with relevant departments) and preparation of invoices for billing to clients,
  • Attending client enquiries promptly on invoicing and quotations,
  • Assist in issuance of certificates,
  • Assist stakeholders and undertake end-to-end ad hoc job requests,
  • Support operational tasks,
  • Organize and manage filing system and other records ensuring safekeeping of confidential materials,
  • Handle, draft and edit documents,
  • Manage executive calendars, appointments, and travel arrangements,
  • Handle and prioritize incoming emails and phone calls,
  • Order, organize, and maintain office supplies,
  • Cover ad-hoc duties of other admins in their absence, including that of the front desk,

Requirements:

  • Minimum 3 years of experience in administrative and / or secretarial support preferably in Marine Industry
  • Excellent organization skills and attention to detail 
  • Adaptability skills to keep up with changing priorities.
  • Ability to maintain confidentiality, exercise discretion, and manage sensitive information. 
  • Effective communication skills (both written and verbal) 
  • Fluency in English both written and verbal
  • Proficiency in office software (Microsoft Office, Excel, Word)
  • The candidate must comply with ethics; be dynamic, energetic, motivated, accommodating; have a positive attitude and good judgment.
  • Ability to work alone and in a team.
