The Operations Coordinator acts as a resource to clients and staff as the key liaison between the client, the inspection and laboratory, to arrange and complete inspection and testing. 

Key Accountability/Responsibilities:   What specifically is this job expected to accomplish? 



  • Gather and assess client needs and inspection scope to quote with existing clients or to work directly with Business development in quoting and developing new clients.
  • Open job files for Inspections and Lab
  • Receive lab samples into tracking system and issue final reports to clients.(Occasional travel to Agri lab may be required)
  • Schedule inspection activities based on client needs and inspector availability.
  • Dispatch Inspectors to client jobs
  • Communicate with inspector throughout inspection providing daily updates to client via email (Will include some nights, weekends and/or holidays)
  • Prepare then issue reports and official certificates back to the client.
  • Invoice client providing details and supporting documents as needed on per job basis.
  • Assist clients with the questions connecting with relevant technical resources within department as needed.
  • Communicates any problems, discrepancies, or other noteworthy incidents to the Operations Manager.
  • Understands and follow our EHS Policy as well as the Occupational Health and Safety Act.
  • Works with staff and Management to reduce non-conformances.  
  • Suggest changes in present procedures, which could improve efficiency, productivity, etc.
  • Documents method changes and new methods in Standard Operating Procedures (SOPs), Works Instructions (WIs), and Management of Change (MOC).
  • Provides general support to other departments as required.



  • Elevates significant and complex resource issues to Manager.
  • Acts as a positive change agent in supporting Bureau Veritas’s new initiatives (operational and cultural).
  • Adheres to Bureau Veritas Code of Ethics Policy.
  • Supports and complies with all Bureau Veritas policies, Quality System and Health & Safety program.
  • Participates, when requested in Departmental and Health & Safety meetings.
  • Participates, when requested in internal and external audits.
  • Keeps work area clean, neat and organized.
  • Maintains training records and relevant qualifications.
  • All other responsibilities as assigned.

Skills and Knowledge:  What skills and knowledge are used to carry out job responsibilities and solve problems?


Minimum Qualifications:

  • Experience administrative operations, logistics or sample handling and chain of custody procedures (minimum 3 year)
  • Experience in grain industry, with understanding of the export / trade of grains (minimum 3 years).
  • Experience in fats and oils, with understanding of the export / trade of grains (minimum 3 years).

  • Familiarity of LIMS and/or accounting platforms

Work Relationships


  • Internal:  Inspection, Laboratory, and Operations team, Quality Assurance, Human Resources, peers for support and information
  • External: Client and client/port facility staff.

Working Conditions:  physical work environment, physical effort, visual and listening attention, and travel


  • Often changing schedule and “On Call” status or remote from home work.
  • Ability to respond to client and inspector calls / emails at extended hours. Weekend work may be assigned on rotational basis as and when needed
  • May involve long periods of sitting and working at a computer screen.
