Reporting to the Office Manager, the Administrative Assistant is responsible for the daily administrative tasks such as answering phones, and the processing of accounts receivable and accounts payable by following established standard operating procedures (SOPs).



  • Comply with the OHS Act and Regulations, BV Group Policy and Procedures, Upstream Minerals Management System Policies and Procedures and ISO standards applicable to the Administrative Assistant position.
  • Act in a safe and professional manner and wear appropriate attire (including personal protective equipment (PPE) where required).
  • Assist in the proper functioning of the Office Administration by:
    • Answering and directing incoming phone calls; updating and distributing the in-house phone list as required
    • Preparing, receiving and distributing mail/faxes/emails
    • Maintaining the appearance of the reception and boardroom areas
    • Maintaining office supplies, creating purchase orders and placing orders
    • Organizing freight quotes and shipments
    • Receiving orders, organizing and filing packing slips
    • Creating invoices, filing and performing data entry as required
    • Practicing good housekeeping.
  • Report any deviation(s) from documented procedures to the Office Manager.
  • Report any unsafe condition(s) observed in the department to the Office Manager.
  • Report any nonconforming work related to job invoices to the Office Manager.
  • Perform other duties as assigned by management.



  • High School Diploma or equivalent
  • Literacy in MS Office Suite
