HR Administrator/ Coordinator - Eastern Canada

(One year contract)

Reporting to the Senior Manager of Human Resources, the HR Administrator/Coordinator will provide Benefits, HRIS system, Administrative and general HR support but not limited to Recruitment, New Hire Processes and Documentation, Onboarding and Employee Engagement Initiatives.


As a HR Administrator/ Coordinator, your main responsibilities are to:


  • Issue various types of letters and employment contracts.
  • Profile and maintain employee records on HRIS and coordinate with IT to create network access to systems.
  • Submit Payroll forms and liaise with payroll team to resolve any discrepancies.
  • Work closely with Payroll to ensure interfaces are streamlined and timecard activation is not delayed.
  • Conduct Benefits Orientation and maintain benefits enrolment system on Canada Life, including RRSP.
  • Maintain inventories for both security FOBs and Timecards, and issue them.
  • Post jobs on HRIS Recruitment Module and conduct Reference Checks, as required.
  • Provide HR administrative support to the team using Microsoft Office.
  • Respond to emails and calls appropriately.
  • Participate and be an advocate for Employee Engagement activities including planning and execution of events.
  • Answer general HR-related queries as needed and represent the department well.
  • Filing/archiving, organizing and general housekeeping in the department.
  • Other administrative tasks and duties as assigned.



You are the ideal HR Administrator/ Coordinator, if you have a :


  • Possess Human Resources Management Certificate, Diploma or equivalent.
  • Minimum one year experience as HR Assistant/Office Administration/Support role.
  • Knowledge of Ontario ESA and applicable provincial and federal legislations.
  • Previous experience working with HRIS would be an asset.
  • Proficiency in MS Office with an emphasis on Outlook and Excel.
  • Strong interpersonal skills, professionalism and tact in dealing with all levels of staff, vendors and community partners.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented and ability to maintain a high level of accuracy.
  • Strong organizational, planning and problem-solving skills
  • Effective in working both independently and with a dynamic team.
  • Excellent time management skills and response time to changing priorities and deadlines.
  • Adaptability to a fast paced environment.
  • Have an open and inclusive mindset and act with a sense of urgency.
