Accounts Receivable Administrator
Location: Edmonton, Alberta
Job Overview and Responsibilities:
We are seeking a detail-oriented and proactive Accounts Receivable Administrator to join our team. The successful candidate will be responsible for managing the accounts receivable process, maintaining client relationships, and ensuring timely collection of payments.
Primary responsibilities include the following (but are not limited to):
- Manage and maintain Days Sales Outstanding (DSO) and Accounts Receivable (AR) metrics for the Petroleum Division.
- Maintain detailed and up-to-date records of all outstanding invoices and client communications.
- Establish and maintain relationships with client Accounts Payable contacts, including high-level executives when necessary.
- Conduct regular follow-ups on overdue invoices via phone and email.
- Collaborate with Credit & Collection Coordinators to address outstanding invoices across all company divisions.
- Track and resolve invoice-related issues, including discrepancies in analysis, coding, charges, or fees.
- Implement client-specific invoicing requirements and suggest process improvements.
- Facilitate communication between clients, Customer Service, and Sales teams as needed.
- Provide clients with account statements and summaries upon request.
- Administer electronic invoice submission platforms, including user management and client onboarding.
- Monitor timely submission of invoices through electronic platforms and follow up on delays.
- Coordinate special projects to improve account management and reduce outstanding balances.
- Provide support to the Customer Service team with invoicing related tasks, as needed.
Is there a mutual fit? You ideally have:
- Post-Secondary Certificate, Diploma or Degree in related field.
- 2-4 years experience in applicable industry; minimum 1 year in client facing or accounting position
- Positive outlook with an ability to work in a fast-paced environment
- Strong computer skills (Microsoft Suite)
- Ability to communicate effectively and work collaboratively with lab operations, Business Development Managers and Customer Service team members
- Good time-management, communication, multi-tasking and priority setting skills
- Strong verbal and written communication
- Organized, detail-oriented and focused

Experience:
- Minimum Education: Certificate in related field (Required)
- 1 year in client facing position (Required)
- 2-4 years of experience in related field (Preferred)
- Experience with Freshdesk would be considered an asset (Nice to have)
Schedule:
- Monday to Friday
- May require flexible workings hours including overtime and on call
Work Remotely:
- This will be an in-office position with the potential to work remotely on an as needed basis.
