TMS Support & Permit Coordinator

 

Reports to: Operations Manager – Plan Review

 

Purpose of Position/ Function:

Working under the direction of the Operations Manager – Plan Review Texas, the TMS Support & Permit Coordinator is responsible for maintaining project data integrity within TMS, supporting permit technicians, coordinating plan review follow-up activities, providing client support, and assisting with departmental operations and administrative functions.

 

Responsibilities and Duties:

 

· Review and update open permits in the TMS system.

· Assist cities on the status of projects and with permit issuance.

· Assist with weekly WIP reports and project tracking activities.

· Track outstanding commercial and residential plan review comments and follow up with clients and staff.

· Assist permit technicians with project intake and project entry into TMS.

· Verify project information for completeness, accuracy, and compliance with city requirements.

· Provide overflow support during high-volume periods.

· Assist clients and Operations Manager with implementation meetings.

· Provide backup support for Office Coordinators and administrative staff.

· Prepare reports, correspondence, and maintain project records.

· Maintain proficiency with Microsoft Office and internal software systems.

· Must possess strong organizational and customer service skills.

 

Job Qualifications and Education:

 

MINIMUM ACCEPTABLE EDUCATION AND EXPERIENCE:

Any combination of education or experience normally equivalent to:

 

Education: High school diploma or GED required. Associate degree preferred.

Experience: Minimum 2 years of administrative, permit processing, project coordination, customer service, or related experience.

Software: Proficiency with Microsoft Word, Excel, Outlook, Teams, and database/software systems.

PERFORMANCE APTITUDES

Human Interaction: Requires the ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; the ability to calculate decimals and percentages.

Functional Reasoning: Requires the ability to apply principles of rational systems; to interpret instructions furnished in written, oral, diagrammatic, or schedule form; and to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.
