Role Statement

The HR Operations and Administration Specialist will be responsible for execution of HR and Administration operations across all offices, ensuring compliance with policies, laws and SOPs for all activities and have a special focus on Operations and Employee Relationship Management.

He/She/They perform the job in the framework of the BV Quality Assurance System, the Code of Ethics and the BV Group policies.

ACCOUNTABILITIES

  • Responsible for end-to-end HR operations and Administration duties.
  • Oversee, reconcile and be solely responsible for leave and attendance records management – includes query management.
  • Ensure all employee-related documentation and compliance requirements are completed, updated, and always securely maintained in both hard and soft formats.
  • Submit up to date, accurate and timely documentation for all employee changes as and when needed to N+1 for review and sign-off post employee onboarding.
  • Assist with the recruitment and interview processes as needed from time to time.
  • Support and assist with onboarding of new employees across all sites.
  • Responsible for documenting exit interviews, performance reviews, clearances and probation evaluations of all sites.
  • Organize and coordinate training sessions and HR events across all sites.
  • Run and maintain up to date information for all assigned HR databases.
  • Responsible for maintaining employee records apart from transition cases (permanent to temporary and vice versa).
  • Supporting and assisting with Administration department’s processes as assigned from time to time by N+1 or Management.
  • Compliance responsibility (for e.g. labor laws – minimum wage) federal and provincial as needed from time to time.
  • Be the custodian of HR policies and SOPs for all office sites, ensuring compliance and employee understanding.
  • Monitor and maintain discipline in alignment with company policies and escalate issues as necessary.
  • Ensure all HR communications are distributed, acknowledged, signed, scanned, and returned to the HR department.
  • Be responsible for execution of all HR operations post onboarding for all employees.
  • Conduct HR inductions for new hires to help manage workload when needed to ensure they are aligned with the company’s values, policies, and culture.
  • Serve as the first point of contact for HR-related queries or grievances at all office sites after FDOs/Admin and HR executives.
  • Serve as the nationwide point of contact for Employee Cards and liaising with the FDOs/Admins and HR Executives for their issuance.
  • Support with monthly payroll processing and finalization.
  • Supporting overall HR communication/coordination/processes and workflows as necessary from time to time.
  • Any other responsibility or task assigned by N+1 or Management.

TECHNICAL COMPETENCIES

  • Timely and accurate maintenance of attendance, leave, and insurance records.
  • 100% compliance with HR policies and procedures in the Lahore office.
  • Successful coordination and timely completion of onboarding and recruitment tasks.
  • Monthly reconciliation of employee data, attendance, and leave records with zero discrepancies.
  • Effective management of documentation, ensuring up-to-date filing and secure storage of records.

Excellent communication, interpersonal and organizational skills with special attention to detail.

Working understanding human resource principles, practices and procedures.

Excellent time management skills with a proven ability to meet deadlines.

Ability to function well in a high-paced and at times stressful environment.

Proficient with Microsoft Office Suite.

At least 5 years of overall HR experience within diverse roles is mandatory.
