Job Title: HR and Administration Specialist

Job Location: Islamabad, Pakistan

 

1    Roles and responsibilities:

Role Statement

The HR and Administration Specialist will be responsible for execution of HR and Administration operations across all offices, ensuring compliance with policies, laws and SOPs for all activities and have a special focus on Recruitment.

He/She/They perform the job in the framework of the BV Quality Assurance System, the Code of Ethics and the BV Group policies.

ACCOUNTABILITIES

  • Responsible for meeting end-to-end recruitment needs of local and regional teams as necessary.
  • Ensuring that SOPs, compliances and policies are adhered to (in letter and spirit) in totality of the recruitment and wider HR processes as may be assigned from time to time.
  • Ensuring that contracting for all new employees is completed, filed and uploaded (hard and soft copies).
  • Maintaining up to date mail merge and data (master sheet and other sources as may be defined from time to time) for all new hires (contractual and permanent).
  • Assisting with payroll finalization at the end of the month and support cross verification.
  • Compliance responsibility (for e.g. labor laws – minimum wage) federal and provincial as needed from time to time.
  • Completing or coordinating Onboarding and Compliance requirements as mandatory for all new hires – Online and in Hard File both.
  • Responsible for employee transition cases (permanent to contractual or vice versa) – sharing up to date documentation for N+1 review and sign-off.
  • Responsible for employee transition cases (permanent to contractual or vice versa) – updating pertinent records as they may be at the given time.
  • Timely and quality submission of recruitment documents and data requirements to the Region for approval and compliance as per policy/SOP.
  • Supporting with employee Offboarding as needed.
  • Supporting overall HR communication/coordination/processes and workflows as necessary from time to time.
  • Supporting and assisting with Administration department’s processes assigned from time to time by N+1 or Management.
  • Any other responsibility or task assigned by N+1 or the Management.

KPIs (to be amended if necessary)

TECHNICAL COMPETENCIES

  • Follow the BV rules and procedures/policies.
  • Maintain an up-to-date ATS.
  • End-to-end recruitment and onboarding within defined TAT.
  • Updating data records and contracting for N+1 review and sign-off.
  • Providing timely inputs for finalization of monthly payroll.
  • Keeping assigned databases up-to-date and joining documents (soft and hard) up to date.
  • Any other KPIs as assigned or amended from time to time for the execution of responsibilities.

The following competencies are required:

  • Strong interpersonal, networking, and communication skills.
  • Negotiation capabilities and stakeholder management.
  • Critical thinking and flexibility when faced with challenges.
  • At least 2 years of recruitment experience (bulk hiring in a MNC with proven low turnover).
  • Strong recruiting and talent acquisition skills.
  • Ability to create a seamless candidate experience through all stages.
  • Active engagement and promotion of diversity in the workplace.
  • HR Generalist experience is mandatory for the role.
