Bureau Veritas is looking for a
CENTRALIZED INVOICING SUPERVISOR
This is a Full-Time position with Medical Benefits and Retirement Savings Plan
As a CENTRALIZED INVOIUCING SUPERVISOR, you will lead a dynamic team responsible for processing invoices for our Environmental and Industrial Hygiene (IH) client base across Canada and the United States. This supervisory position requires strong accounting knowledge, team leadership skills, and the ability to manage complex invoicing operations in a fast-paced environment.
Key Responsibilities:
Team Leadership:
- Lead and support a team of direct reports through coaching, mentoring, and clear assignment of duties and responsibilities
- Conduct training and onboarding of new staff
- Schedule regular team meetings (bi-weekly) and daily huddles as needed
- Monitor staff productivity and turnaround time; assign tasks and workload accordingly
- Conduct one-on-one meetings and coaching sessions
- Monitor and evaluate employee performance; provide meaningful feedback and develop action plans for continuous growth
Invoicing Operations:
- Ensure timely processing and invoicing of all available work for Environmental and IH clients based on client requirements
- Execute and oversee all invoicing and credit processes for Environmental and IH lines of business
- Resolve invoice discrepancies and customer inquiries
- Manage month-end invoicing processes and schedules for the team including prioritization of workload at month-end to meet dealdines and targets
- Monitor billing cycles to ensure month-end and year-end deadline compliance
System & Process Management:
- Review invoicing status including monitoring system alerts, closed/unfinalized invoices, export failures, and cancelled TMPs
- Run daily reports for management; identify and resolve stuck jobs for invoicing
- Monitor aging TMPs and manage cleanup of pending items
- Review and assign BVS credit tickets across regions
- Coordinate with IT and Accounting on invoicing errors
- Support the team during month-end processing
Reporting & Communication:
- Provide daily and monthly reporting to management as required
- Answer questions and resolve escalations from team members, Customer Service, and Accounting
- Maintain open communication with Finance, Customer Service, Business Development, and Accounting teams
Additional Requirements:
Availability for shift work and overtime as needed
You are an ideal Centralized Invoicing Supervisor if you have:
Skills and Knowledge
- Post-secondary school education with at least 5 years’ experience in financial or environmental lab operations
- At least 3 years of team leadership or supervisory experience
- Reliable, responsible, and self-motivated with a strong ability to establish priorities and lead teams
- Proven coaching, mentoring and staff motivation skills
- Excellent written and verbal communication with ability to collaborate effectively across Finance, Customer Service, Business Development and Accounting teams
- Strong analytical and problem-solving skills with ability to recommend and implement alternative solutions
- Detail oriented with excellent record keeping and organizational abilities
- Proficient in Microsoft Office with ability to create and resent data
- Ability to thrive in fast-paced, dynamic environments and adapt to changing priorities
- Strong time-management and multitasking capabilities
- Quick learner with demonstrated ability to master new systems and processes
- Working knowledge of basic accounting principles
- Familiarity with LIMS systems including Invoice, CLNT, MaxxBill Settings
- Experience with BVS Credit Process
- Knowledge of BVS: Credit process, an asset
