JOB TITLE: Operations Coordinator 

REPORTS TO: Operations Assistant or Coordinator 

 

SUMMARY 

The Junior Coordinator provides essential support to the day‑to‑day operations team within an oil and petroleum service environment. This role focuses on coordination, data management, customer service, and basic administrative tasks to ensure efficient service delivery and compliance with company and industry standards.

 

ESSENTIAL DUTIES & RESPONSIBILITIES 

 

Operational Coordination

- Receive and process client orders (written or verbal) under supervision. 

- Assist in creating and maintaining job files and documentation. 

- Prepare job orders and laboratory instructions with guidance from senior staff. 

- Support operational compliance with company policies and industry standards.

 

Data Management

- Perform high‑volume data entry into client and internal systems. 

- Accurately input and update sample records, ensuring data integrity. 

- Resolve customer discrepancies and submit resolution reports to the Operations team.

 

Customer Service

- Provide responsive customer support for routine inquiries. 

- Understand and meet basic customer requirements, escalating complex issues as needed. 

- Foster customer confidence through professional communication.  

- Route and manage communication channels to appropriate personnel.

 

Quality and Safety

- Maintain awareness of company safety standards and procedures. 

- Participate in corrective/preventive action processes under guidance. 

- Enforce quality and safety policies in daily activities. 

- Support continuous improvement initiatives.

 

Administrative Support

- Assist with invoicing, billing, and collections paperwork. 

- Help maintain corporate policy and procedure records at the office level. 

- Aid in organizing schedules, staffing, and resource allocation. 

 

SUPERVISORY RESPONSIBILITIES 

None

 

QUALIFICATION REQUIREMENTS 

- Education: High school diploma or GED (required). 

- Experience: 1–2 years of inspection‑related or customer‑service experience preferred. 

Skills:

  - Strong verbal and written communication. 

  - Basic mathematical proficiency. 

  - Proficiency in data entry and administrative systems. 

  - Ability to work with diverse documentation and technical instructions. 

Other:

  - Ability to work independently and as part of a team. 

  - Willingness to learn and adapt to evolving processes.

 

 

PHYSICAL REQUIREMENTS 

- Ability to stand, walk, and sit for extended periods. 

- Occasional lifting up to 30 pounds. 

- Work in environments with potential exposure to mechanical parts and chemicals.
