Inspection Scheduler Job Description
Position Summary
The Inspection Scheduler plays a critical role in supporting plan review and field inspection operations by coordinating inspection requests and processing permit activity for multiple jurisdictions. This position serves as a key point of contact between city representatives, contractors and field inspectors, ensuring accurate scheduling and exceptional customer service.
This is a fast-paced, high-volume position requiring strong multitasking abilities, attention to detail, and proactive problem-solving skills. The ideal candidate thrives in a dynamic environment, demonstrates self-motivation and is committed to delivering outstanding service in every interaction.
Key Responsibilities
- Coordinate and schedule inspections for all cities serviced by Bureau Veritas
- Process incoming inspection requests via phone (80–150+ calls daily) and email (100+ messages daily)
- Perform permit processing and data entry with accuracy and efficiency
- Serve as a primary point of contact for contractors, city representatives and internal staff
- Communicate directly with field inspectors to confirm schedules, resolve conflicts and relay updates
- Monitor and manage scheduling queues to ensure timely service delivery
- Identify and resolve scheduling conflicts or issues through effective problem-solving
- Maintain accurate records and documentation within scheduling systems
- Provide exceptional customer service through maintaining professionalism and responsiveness at all times
Required Skills & Qualifications
- Strong multitasking and organizational skills in a high-volume environment
- Excellent verbal and written communication skills
- Proven ability to handle a high call volume while maintaining accuracy and professionalism
- Strong problem-solving abilities with a willingness to think outside the box
- High attention to detail and data accuracy
- Ability to work independently with a high level of self-motivation
- Proficiency in Microsoft Office and scheduling/software systems (experience with permitting systems is a plus)
- Customer service-oriented mindset with a commitment to excellence
