The ALTA Survey Project Coordinator coordinates the day-to-day execution of ALTA surveys, zoning, and commercial real estate due diligence projects from project setup through final delivery. This role serves as the central point of coordination between clients, survey vendors, field teams, municipalities, and internal project managers to keep projects moving, information organized, schedules on track, and deliverables completed accurately and on time.
This is a project coordination role - not a surveying position. The Coordinator does not perform technical surveying work but is responsible for managing the information, communication, scheduling, documentation, and logistics required to successfully complete each assignment.
Key Responsibilities
- Set up and maintain ALTA survey, zoning, and due diligence projects in internal project management systems, ensuring project information is accurate and current.
- Review client-supplied materials and project requirements; organize and distribute information to survey vendors, field teams, and internal stakeholders.
- Coordinate schedules between clients, property contacts, survey vendors, municipalities, and field personnel.
- Obtain vendor pricing, availability, and turnaround times; coordinate vendor assignments and onboarding as needed.
- Research and obtain property, survey, zoning, and municipal information required to support project completion.
- Communicate with municipal departments to obtain records, requirements, and other project information.
- Track project status, outstanding information, scheduling issues, proposals, and deliverables to keep assignments moving toward completion.
- Review client comments and project requirements and communicate necessary revisions or follow-up items to vendors and internal teams.
- Receive, organize, and distribute survey and zoning deliverables for appropriate technical review.
- Prepare and submit non-technical client deliverables and project documentation, including reports, summaries, reliance letters, and other required materials.
- Maintain accurate project, client, vendor, and contact information across company systems.
- Proactively identify delays, missing information, or project issues and escalate significant concerns to the Senior Project Coordinator or Project Manager.
- Provide timely communication and follow-up with clients regarding proposals, awarded projects, outstanding information, and final deliverables.
- Maintain organized project records and ensure required documentation is uploaded and accessible to the appropriate teams.
- Support process improvements and technology initiatives that improve project efficiency and client service.
What We're Looking For
- 2+ years of experience in project coordination, project administration, surveying, commercial real estate, construction, engineering, architecture, or a related field.
- High school diploma or GED required; college coursework or degree preferred.
- Strong organizational and time-management skills with the ability to manage multiple projects and deadlines simultaneously.
- Strong written and verbal communication skills and confidence communicating with clients, vendors, municipalities, and internal teams.
- Ability to read and understand project documents, municipal requirements, and technical information.
- Strong attention to detail and ability to identify missing or inconsistent information.
- Comfortable working independently in a remote environment while maintaining consistent communication with the project team.
- Proficiency with Microsoft Office and web-based project management systems; ability to quickly learn new software and internal platforms.
- Experience with ALTA surveys, zoning, commercial real estate due diligence, land surveying, construction, or engineering is a plus.
Work Environment
This is primarily a remote, computer-based project coordination position requiring frequent communication with clients, vendors, municipalities, field personnel, and internal project teams. Occasional overtime may be required based on project demands.
Compensation: $21 - $25 per hour.
