SUMMARY: Responsible for scheduling activities for Asset Management or Transactional project protocols. Plans and implements resource allocation for projects/programs in consideration of project scope complexities, available capacity, resource qualifications/expertise, department productivity and travel to maximize efficiencies, project profitability and overall success.
This position is fully remote.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other job-related duties may be assigned in conformance with state and federal regulations.
- Independently develops resource plans for projects/programs based on project scope complexity, qualifications/expertise, travel efficiencies, department productivity, and capacity to maximize project profitability and success. Project scopes vary in complexity due to different facility types, protocols, client-specific requirements, contractually agreed turnaround times, local regulations and codes, geographic locations, and site conditions.
- Responsible for analyzing and deploying the resource pool in relation to project needs to quickly select and assign field resources to execute multiple projects simultaneously in a cost-effective manner.
- Communicates clearly with team members and client representatives.
- Manages internal and external field resource pools through a web-based project management system, including availability, geographic locations, qualifications, skill sets, and employee compensation within program guidelines.
- Evaluates field capacity against forecasted resource needs and communicates with key stakeholders to ensure adequate field staff geographically and by required qualifications and skill sets.
- Analyzes field capacity against forecasted resource needs and communicates with leadership and the Sales team regarding operational readiness for potential projects and programs.
- Serves as a liaison between operational leadership, project resources, clients, and client representatives.
- Works across division lines to identify qualified, cost-effective resources for upcoming projects and future cross-resourcing opportunities.
- Determines alternative resourcing solutions when travel costs exceed budget goals, including the use of internal full-time staff, per-project staff, desktop resources, and external subcontractors.
- Analyzes project and program data to evaluate progress, delivery schedules, potential challenges, and implements timely solutions.
- Provides guidance and resolves issues related to points of contact, site access, site information, report deliverables, and project resources.
- Maintains responsibility for Client Supplied Materials (CSM) by organizing valid documents, as-builts, prior reports, and ensuring assigned field staff have the necessary project documentation before site visits.
- Participates in and facilitates project/program setup, client kickoff meetings, and internal kickoff meetings.
- Designs, implements, and executes operational and organizational initiatives.
- Protects company information by maintaining confidentiality.
- Delivers outstanding customer service through timely responses and proactive solutions to client needs.
- Demonstrates Bureau Veritas guiding principles in support of the company's strategic goals.
- Follows all documented policies, Standard Operating Procedures, and Work Instructions while supporting Bureau Veritas quality standards and strategic initiatives.
- Maintains a safe and clean work area by following all procedures, rules, and regulations.
- May be required to work overtime with prior supervisor authorization.
- Must be able to meet the physical demands of the position.
- Assists field and operations teams with administrative support throughout the project lifecycle from initiation to closeout.
- Assists with documenting and reporting project expectations and requirements.
- Maintains administrative data in scheduling and accounting systems, including schedule entries, qualification updates, due date changes, reviewer assignments, project details, project confirmations, and Project Work Plan releases.
- Attends internal and external meetings and assists with documenting project expectations and requirements.
- Maintains field resource licenses and qualifications in scheduling databases.
- Utilizes Bureau Veritas and external databases to track and report project metrics, verify building types and square footage, identify data gaps, and resolve time credit discrepancies.
- Processes Client Supplied Materials (CSM) by organizing valid documents, as-builts, and prior reports.
- Plans and implements resource allocation based on project complexity, available capacity, qualifications, expertise, department productivity, and travel considerations to maximize efficiency and profitability.
- Schedules projects while considering travel efficiency, project location, project type, client due dates, turnaround times, onsite time, report writing time, production deadlines, capacity, and department productivity.
- Negotiates fees with flexible resources while optimizing project financial performance.
- Initiates and communicates purchase orders.
- Maintains accurate scheduling databases and current knowledge of full-time, part-time, and subcontractor availability.
- Coordinates onsite schedules across divisions and provides a single point of communication to clients.
- Assembles and distributes all required onsite assessment documents, including the Project Work Plan (PWP), maps, Client Supplied Materials (CSM), and prior reports.
- Resolves challenges related to points of contact, site access, and site information.
- Proactively identifies and resolves scheduling conflicts.
- Maintains knowledge of project-specific background check requirements and the internal process for tracking clearances.
- Identifies shadowing and mock report opportunities to support onboarding and training needs.
SUPERVISORY RESPONSIBILITIES:
This job does not have direct supervisory responsibilities. May indirectly supervise employees within the team in accordance with the organization's policies and applicable laws. Responsibilities include training employees, planning, assigning, and directing work.

Education and/or Experience: Bachelor's degree (B.A. or B.S.) from four-year college or university in related field; minimum of one year of related experience. In lieu of degree, two years of related experience and/or training, or equivalent combination of education and experience.
Certificates, Licenses, Registrations: None required.
Language Ability: Ability to write reports, business correspondence, and standard operating procedures. Ability to effectively present information and respond to questions from clients, peers, and technical field staff.
Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions and deal with several abstract and concrete variables. Professional discretion and the ability to clearly communicate the aforementioned both externally and internally are paramount to this role.
Technology Skills: To perform this job successfully, an individual must be proficient in operating a computer, having knowledge of word processing software, spreadsheet software, and project management software.
