Are you a highly organized, detail-oriented individual with exceptional communication skills?  Do you excel in managing multiple tasks simultaneously?  If so, we have the perfect opportunity for you!  We are seeking a talented Executive Assistant to support our Zone Vice President (ZVP) - Marine & Offshore division, in the daily operations.  There is no gender preference for this role.

 

Role Overview:

As the Executive Assistant to the ZVP, you will play a pivotal role in ensuring the efficient functioning of the executive office.  You will be responsible for managing the ZVP’s schedule, coordinating meetings and travel arrangements, handling correspondence, and providing administrative support as needed.  This role requires impeccable organizational skills, strong attention to detail, and the ability to maintain confidentiality. 

 

Key Responsibilities:

  • Extensive calendar management, including prioritizing and arranging meetings and appointments.
  • Ensure regular schedule of recurring meetings with all ZVP's direct reports.
  • Coordinate logistics for travel such as flight bookings, arranging accommodation, and meeting coordination.  Make judgments regarding cancellations, reschedules, and other changes.
  • Submit timely travel expense reports/reimbursement follow-ups for ZVP.
  • Manage a wide range of administrative and executive and personal support related tasks, including drafting routine correspondence and organizing/maintaining files, etc.
  • Prepare a variety of correspondence, agendas, reports and other materials, including presentations as required.  Maintain systematic file systems for correspondence signed by the ZVP, and other relevant materials.
  • Collects and compiles data and other information for inclusion in special and periodic reports.
  • Ensure the ZVP is fully prepared and informed for all meetings, which may include pre-read materials relevant to each meeting.
  • Maintain and manage confidential information which may be provided over email, letter, calls or in person.
  • Coordinate with internal / external stakeholders as necessary to organize meeting events and office/site activities.
  • Perform ad hoc administrative tasks and special projects as assigned by ZVP

 

Qualifications:

  • Relevant senior level Executive Assistant or equivalent experience.
  • Bachelor’s degree or equivalent combination of education and experience
  • Demonstrated professionalism as a member of a collaborative, respectful, and high-functioning team.
  • Ability to manage high levels of confidentiality and act as a trusted confidante.
  • Very well organized and on top of all relevant issues always.
  • Ability to multi-task and work flexibly in a highly dynamic work environment.
  • Self-directed and self-motivated; able to work independently with little or no supervision.
  • Quick & efficient with exceptional organization & time management skills.
  • Ability to work collaboratively, and to foster and promote a collaborative culture within BV.
  • Focused, analytical and ability to think strategically and identify creative solutions.
  • Ability to build positive internal and external relationships.
  • Strong event planning skills.
  • Demonstrated experience and proficiency in Office 365 and SharePoint and a willingness to be trained in new applications. Exceptional PowerPoint & Excel skills!
  • Tech savvy, confident, creative, and eager.
  • Fluent in English.
