Acting as a vital administrative link between the client and senior internal stakeholders, we are looking for someone with strong administration and coordination skills to assist in the successful management and planning of one of our key contracts

 

Main Duties & Responsibilities:

  • Maintain accurate asset information across core Bureau Veritas systems to ensure the services required across the portfolio are delivered proactively. Any updates received to be verified and actioned accordingly.
  • Update and maintain all forthcoming activities scheduled in both client and in-house systems for annual inspections with dates, surveys, audit details and appropriate skill codes of the required service.
  • Update and maintain client databases with activity dates, and reports (if contractual).
  • Responsible for the control and organisation of the management and maintenance of client central records and internal database information via the appropriate external systems if applicable (i.e. Maximo).
  • Assist the account manager by acting as the central contact for all related: internal, client & 3rd party queries in relation to the delivery of the periodic inspections.
  • Responsible for facilitating the addition and removal of assets when instructed by the client to avoid any potential aborted visits.
  • Reporting to the account manager any issues that may jeopardise meeting contractual KPI’s.
  • Support the planning teams to enable an effective schedule of works.
  • Ensure all additional client requests passed to colleagues across Bureau Veritas network are acted upon.

 

Experience and Skills Required:

 

  • Effective communication skills (written & verbal)
  • Excellent internal & client relationship building skills.
  • Strong organisation and general administrative skills
  • Highly proficient in IT and capable with data creation & manipulation in Excel
  • Ability to maintain up to date and accurate records.
  • Strong customer service focus
  • Able to work under pressure and prioritise all deliverables.
  • Good initiative
  • Exceptional attention to detail
