RESPONSIBILITIES

Document Management:

  • Establish and maintain a comprehensive document control system to ensure the effective management and storage of all project-related documents;
  • Ensure the timely distribution, retrieval, and control of project documents, such as drawings, specifications, reports, and correspondence;
  • Maintain an up-to-date document register and master document list;

Document Tracking and Monitoring:

  • Track the status of all project documents, including their review, approval, and distribution;
  • Monitor and manage document revisions, changes, and approvals, ensuring that the latest versions are readily available;
  • Coordinate with project stakeholders, such as engineers, contractors, and subcontractors, to ensure the timely submission and processing of documents;

Document Coordination and Communication:

  • Serve as the central point of contact for all document-related inquiries and requests;
  • Facilitate the flow of information and documentation between various project teams and stakeholders;
  • Provide support and training to project personnel on document control procedures and best practices;

Quality Assurance and Compliance:

  • Ensure that all project documents adhere to established standards, formats, and quality requirements;
  • Implement quality control measures to verify the accuracy and completeness of project documentation;
  • Maintain compliance with relevant industry regulations, guidelines, and contractual requirements related to document control;

Reporting and Record-keeping:

  • Generate periodic reports on the status of project documents, including document logs, transmittals, and distribution records;
  • Maintain a comprehensive archive of all project-related documents, ensuring their proper storage and retrieval.

Project Admin

  • Setting up / arrangements for Accommodation & Transportation for site employees as needed;
  • Maintain Site employee’s attendance;

Cost Control;

  • Process vendor invoices and follow-up for payments;
  • Inventory Maintenance for Office and Guest house assets;
  • Maintaining the project related files and keep the file racks neat & tidy at site office;
  • Maintain personnel, legal, and administrative records;
  • Open, sort, and distribute incoming correspondence, including courier and fax;

Basic knowledge of SAP, invoice bookings and PR preferred.

 

REQUIREMENTS

  • Education:
    Diploma or Bachelor's Degree in Business Administration, Engineering, or related fields.

  • Experience:
    At least 2 years of experience in document control or project administration, preferably in a construction, engineering, or industrial setting.

  • Skills:

    • Strong organizational skills and attention to detail.
    • Proficiency in document management systems and MS Office Suite (Word, Excel, PowerPoint).
    • Ability to prioritize and manage multiple tasks simultaneously.
    • Excellent communication skills, both written and verbal.
    • Strong problem-solving and analytical skills.
