Position Summary:

This job is responsible for providing experienced administrative, clerical, and/or customer service support to departments and managers within a function or field office.

 

Principal Duties and Responsibilities:

Prepares correspondence, distributes outside and interoffice communication, orders supplies and performs other administrative duties as required.

Prepares reports, presentations and spreadsheets as required by the Director of Operations.

Files documents maintaining client and inspector files per company procedures.

Performs customer service functions such as emailing invoices to select clients and addressing any other customers’ administrative concerns as needed.

Arranges conference calls and maintains calendars as required by The Director of Operations

Maintains client database with current information and monitors audit and joint review scheduling or client certificate renewal.

Ensure inspector’s State Applications are completed for inspector license renewal. Assist in the day to day operation of the area office. Interacts with both Regional and Home Office Staff.

 

 

Decision- Making Authority/Accountability Level:

Under general to limited supervision, provide general administrative support to a department or group or professionals. Exercise some discretion and independent judgment within limited authority level and is capable of analyzing routine information requests.

 

Minimum Knowledge, Skill, and Ability Requirements

Demonstrates proficiency with copier and computer software, including current Windows Operating System, Microsoft Office, Microsoft Outlook, Microsoft TEAMS, and other data entry and spreadsheet applications and programs. Spelling and grammatical skills of at least a high school level are required. Proficient in both English and Spanish a plus.

 

Education and Experience Preferred:

High school diploma with demonstrated experience required, Associates degree preferred 2-5 years of experience a plus.
