Job Title: Receptionist

Reports to: Customer Service Manager

Department: Client Services

Location: Vancouver. B.C.

Full time Monday to Friday 8:30am - 5:00pm

1-Year Contract

 

Basic Purpose:

 

The Receptionist is responsible for providing general administrative support and phone line management for the Vancouver office. This individual will be the main point of contact for incoming calls and inquiries, screening and redirecting phone calls to the appropriate lines and the overall maintenance of the reception area. This is a fulltime, in-office position Monday to Friday, 8:30am-5pm.

 

 

Key Accountability/Responsibilities:

 

•          Phone line management including taking messages and redirecting calls to the appropriate individuals

•          Greet, assist and act as a main point of contact for on site visitors

•          Maintain visitor logbooks and manage visitor passes

•          Monitor Company general inbox and reroute emails to the appropriate staff or department

•          Arrange and confirm travel arrangements and hotel accommodations for travelling managers and incoming foreign visitors as needed

•          Coordinate meetings including managing the Conference Room bookings, handle catering requests and the overall maintenance of the boardrooms

•          Support the Client Services department as required when requested.

•          Assist departments on incoming and outgoing mail and packages

•          Maintain internal phone directory for all designated personnel

•          Act as Fire Marshall for the occupants of the Executive area, including the HR office

•          Comply with occupational health and safety legislation, BV Group Policies and Procedures, Upstream Minerals Management System Policies and Procedures

•          Act in a safe and professional manner and wear appropriate attire including the required personal protective equipment (PPE) when needed

•          Other duties as assigned or required from time to time

 

 

Skills and Knowledge:

 

•          Post-secondary education or Technical Diploma in Business, Office Administration or equivalent required

•          Minimum 1 years' experience in customer service, office administration, reception or related

•          Intermediate proficiency in MS Office (Outlook, Word, Excel)

•          Excellent verbal and written communication skills

•          Strong sense of integrity and ability to maintain a high level of professionalism at all times

•          Effective time management skills and ability to maintain a high degree of accuracy

•          Team oriented and able to work independently with minimal supervision

•          Safely perform physically demanding tasks with repeated lifting and handle weights of up to 25 lbs

 

 

The salary range for this role is  $40,000 - $42,000

 

Paywithin this range varies by work locationand may also depend on job-related knowledge, skills, experience, and market location.
